CANCELLATION POLICY

We’re so excited to be part of your event, but we understand that plans can change and cancellations may be necessary.  Please see below for our full cancellation and rescheduling policies.

Cancellations made 15 or more days prior to the scheduled event date:
A full refund of all payments made will be issued, excluding any custom items or branded materials already ordered, which are non-refundable.

Cancellations made 8-14 days prior to the scheduled event date:
A 50% refund of the deposit will be issued, excluding any custom items or branded materials already ordered, which are non-refundable.

Cancellations made 1-7 days prior to the scheduled event date:
No refund will be provided. At this stage, your event has already been staffed, supplies have been purchased, and final logistics have been completed. However, we are happy to offer a credit in the amount paid, valid toward a future event within 12 months of the original date, subject to availability.

TERMS OF SERVICE

This Catering Agreement (“Agreement”) is entered into by and between Schmooze Coffee LLC, a California limited liability company (“Caterer”), and the individual or entity retaining Schmooze Coffee LLC for mobile coffee catering services (“Client”). Together, Caterer and Client shall be referred to as the “Parties.”
By submitting a booking request or otherwise confirming services in writing, Client agrees to the terms set forth herein.

1. Event Details
Client agrees to retain Caterer to provide coffee catering services for the event outlined in the booking form and confirmed via written communication (email, signed quote, or contract). Any changes to the event details, including location, time, guest count, or service requests, must be submitted in writing and approved by Caterer at least 7 days before the event. Additional charges may apply for changes made after confirmation.

2. Menu & Beverage Service
Caterer will provide coffee and beverage services from the menu agreed upon. While every effort is made to provide all items as listed, Caterer reserves the right to make reasonable substitutions in the event of supply chain disruptions, unavailable ingredients, or seasonal product limitations.
Typical beverage offerings include (served hot or iced):
- Espresso, Cortado, Latte, Cappuccino, Americano, Chai Latte 
- Green, Black or Peach Tea
Syrups & Flavors:
- Vanilla + Cinnamon & Honey l, and 1–2 seasonal flavors
Milk Options:
- Whole Milk + Oat Milk

3. Venue Access Requirements
Client agrees to ensure Caterer has access to the venue 1.5 hours before the scheduled start time and 1 hour after for breakdown and cleanup. Client shall coordinate directly with the venue to provide access and cover any associated costs. Caterer is able to operate outdoors only when weather permits (i.e., no rain and temperatures between 40°F and 90°F). Espresso machines may be affected by extreme weather conditions, and in such cases, Caterer reserves the right to modify service or relocate setup. Client shall cover all parking costs if necessary. 

4. Payment Terms
To officially book your Schmooze Coffee event, full payment is required. Your event date will be secured once 100% of the payment has been received. Payment may be made via credit card, ACH transfer, PayPal or business check. Client is responsible for notifying Caterer of any changes to guest count at least 7 days prior to the event, at which point a Final Guest Count will be used to calculate service needs. Additional charges may apply for guest increases.

5. Client Responsibilities
Client is solely responsible for:
- Securing and paying for venue use
- Obtaining any necessary permits or approvals
- Providing adequate access to one (1) dedicated 120V/15-amp electrical outlet per espresso machine within 25 feet of setup
- Ensuring a safe environment for Caterer’s staff and equipment
Failure to provide adequate power or meet these requirements may result in limited service with no refund.

6. Insurance
Caterer maintains general liability insurance coverage appropriate for mobile food and beverage services. A certificate of insurance (COI) can be provided upon request.

7. Indemnification
Client agrees to indemnify and hold harmless Caterer, its employees, agents, and representatives from and against any claims, liabilities, damages, or expenses arising from:
- Damage, theft, or loss of Caterer’s property due to Client’s guests or event staff
- Injuries or accidents not caused by Caterer’s direct negligence

8. Limitation of Liability
Schmooze Coffee LLC shall not be held liable for failure to perform its obligations under this agreement if such failure is due to events beyond its reasonable control, including but not limited to: power outages, venue-related issues, illness, extreme weather, acts of God, or any other unforeseen circumstances. In such cases, Schmooze Coffee LLC will make commercially reasonable efforts to provide service as planned or reschedule the event, subject to availability. However, no refunds shall be issued for cancellations or disruptions resulting from these uncontrollable circumstances.
Under no circumstances shall Schmooze Coffee LLC be liable for any indirect, incidental, special, or consequential damages, including but not limited to lost revenue, opportunity, or reputation, arising from or related to this agreement or the services provided.

9. Dispute Resolution
We value our clients and strive to deliver an exceptional experience. Should concerns arise, both Parties agree to:
- Make a good faith effort to resolve disputes privately
- Refrain from publishing public complaints online without first providing written notice and an opportunity to resolve the issue amicably

10. Governing Law & Jurisdiction
This Agreement is governed by the laws of the State of California, and any disputes shall be resolved in the courts located in Los Angeles County, California.

11. Entire Agreement
This document constitutes the full agreement between the Parties and supersedes any prior communications. Any changes must be made in writing and signed by both Parties.

- Payment info (processed via secure third-party platforms)

We only share your info with trusted third parties (like payment processors) as needed to provide our services. We never sell your information.

Children
Our services are not intended for users under 18. We do not knowingly collect data from children.

Legal Compliance
We may share your info if required by law or to protect our business and customers.

Changes
We may update this policy. Any changes will be posted on our website.
